The role

We're looking for a local creative teammate to help with marketing and agency support for our team of seven agents and brokerage-level projects. This is the role for someone who loves real estate design aesthetics and hits deadlines without reminders. You'd be a bridge between our agents and the brand, turning raw listing photos and copy into polished marketing collateral, making sure our newsletter goes out on time, and stopping by our Kingston office once a week to handle the small in-person projects and oversight.

The role

This is a project management role at heart. We're looking for an experienced transaction coordinator to manage our agents through every listing and every closing, making sure every file, every supporting document, and every piece of presentation material is flawless before it reaches the broker's final review.

You'd be the person who keeps the agents moving forward, who knows what's outstanding on every file, and who isn't afraid to nudge an agent twice. External communication (with attorneys, clients, vendors) stays with the agents. Your work is internal project management, agent-facing, behind the scenes, and always one step ahead.

The work

  • Project managing listing launches
  • Project managing closings
  • Dotloop: client setup, document compliance, signature workflows
  • MLS data entry, updates, and compliance (OneKey and Flex)
  • CRM maintenance and reporting
  • Google Drive organization and document compliance
  • Drafting and tracking commission invoices

  • E-signature platform

The fit

  • 2+ years as a TC in a NY brokerage strongly preferred
  • Comfortable with NY's attorney-driven closing process
  • Familiar with OneKey MLS and Flex
  • Hudson Valley or Catskills experience a meaningful plus
  • Type-A about deadlines and written communication
  • Comfortable project managing agents directly to move files along

One thing worth knowing

We ask candidates to disclose current brokerage clients up front, and we retain the right to decline an engagement that overlaps with a direct local competitor. We're happy to work with TCs who serve multiple brokerages, we just want to start with transparency.
